1. Overview
This Privacy Policy describes how PH Strategy and Leadership collects, holds, uses, discloses, and otherwise manages data and personal information in connection with the Strategy Navigator System and related services, including Strategy Navigator, stratāgaia, Strategy Ledger, stratāpulse, CSOsandbox, Advisory Services, and Strategic Capability Services.
The Strategy Navigator System is designed to support strategic thinking, exploration, judgement, and decision framing through structured analysis, interpretation, and prospection. It is not a deterministic system and does not replace executive judgement, governance, or accountability.
Use of the Strategy Navigator System may involve the handling of sensitive strategic, financial, operational, organisational, and in some cases personal information. This Policy explains how such information is treated.
2. Scope
This Policy applies to all users of the Strategy Navigator System and to data or personal information processed in connection with its use, except to the extent that a separate written agreement or enterprise customer arrangement expressly provides otherwise.
3. Types of Information Collected
The Strategy Navigator System may collect or process the following categories of information:
• User-provided information: strategic, financial, operational, organisational, or other information entered, uploaded, submitted, or otherwise provided by users.
• Personal information: contact details, user account details, communications, support enquiries, and any personal information contained in material submitted by users.
• System and usage data: interaction data, session data, system logs, device or browser information, IP address data, access records, and configuration details.
• Analytical data: outputs, models, structured representations, prompts, scenarios, reports, and other materials generated through use of the Strategy Navigator System.
• Support and service data: information reasonably required to provide implementation, support, training, Advisory Services, or Strategic Capability Services.
The Strategy Navigator System does not independently generate customer data outside user interaction, system operation, or agreed service delivery.
4. Purpose of Collection and Use
Information is collected, held, used, and processed solely for purposes such as:
• enabling operation of the Strategy Navigator System;
• supporting analytical, modelling, reporting, and visualisation functionality;
• providing implementation, support, training, Advisory Services, and Strategic Capability Services;
• improving system performance, reliability, security, and usability;
• managing accounts, subscriptions, communications, billing, and customer relationships;
• complying with legal, regulatory, contractual, and operational obligations.
The Strategy Navigator System does not use information to make autonomous decisions or initiate actions outside user direction.
5. Basis of Handling and Responsibility
PH Strategy and Leadership handles information on the basis that the customer or user organisation remains responsible for the governance, legality, quality, and appropriateness of information entered into or processed through the Strategy Navigator System.
Users and customer organisations are responsible for ensuring that they have the necessary rights, permissions, notices, and consents to provide any information, including personal information, to PH Strategy and Leadership or through the Strategy Navigator System.
6. Data Ownership
All customer data provided to or generated through the Strategy Navigator System remains the property of the relevant user or user organisation, subject to any rights of PH Strategy and Leadership in its own software, methodologies, models, templates, systems, and intellectual property.
PH Strategy and Leadership does not claim ownership over:
• input data;
• analytical outputs created for the customer;
• customer-specific strategic interpretations or insights.
7. Data Responsibility
Users are responsible for:
• ensuring data accuracy, completeness, and appropriateness;
• maintaining appropriate internal governance, controls, and access permissions;
• determining how outputs are interpreted and used; and
• ensuring that any personal information or regulated information is handled lawfully.
The Strategy Navigator System does not validate the correctness of all source data or conclusions and should not be treated as the sole basis for strategic, financial, operational, governance, or organisational decision-making.
8. Confidentiality
PH Strategy and Leadership takes reasonable steps to ensure that information processed through the Strategy Navigator System is treated as confidential and accessed only by persons who reasonably require access for system operation, support, or agreed service delivery.
Users and customer organisations should ensure that access to information is restricted to authorised individuals only and managed in accordance with their own governance and security controls.
9. Data Security
Reasonable administrative, technical, and organisational safeguards are applied to protect information from:
• unauthorised access;
• loss, misuse, or interference;
• unauthorised alteration or disclosure; and
• other forms of misuse or compromise.
These safeguards may include access controls, authentication controls, environment protections, secure service providers, and reasonable operational security measures. However, no method of transmission or storage can guarantee complete security.
10. Disclosure and Sharing
Information is not disclosed to third parties except where:
• required or authorised by law;
• necessary to deliver, host, maintain, support, secure, or improve the Strategy Navigator System or related services, including through infrastructure, hosting, software, analytics, communications, support, or professional service providers;
• authorised, directed, or requested by the user or customer organisation; or
• reasonably necessary in connection with a corporate transaction, restructuring, financing, or sale of business assets, subject to appropriate confidentiality protections where practicable.
Any such disclosure is limited to what is reasonably required for those purposes.
11. Cross-Border Handling
Some information may be stored, processed, backed up, or accessed through cloud, software, or service providers located outside Australia. Where this occurs, PH Strategy and Leadership will take reasonable steps to use reputable providers and to ensure that such handling is consistent with applicable privacy and confidentiality obligations.
12. AI and Analytical Processing
Where the Strategy Navigator System incorporates AI-assisted, model-based, or algorithmic capabilities:
• outputs may be probabilistic and non-deterministic;
• results depend on input data, modelling structures, assumptions, and context;
• outputs are not guaranteed to be accurate, complete, or predictive; and
• users remain responsible for applying appropriate judgement when interpreting outputs.
The Strategy Navigator System is intended to augment human strategic capability, not replace human judgement, governance processes, or executive accountability.
13. Data Retention
Information is retained only for as long as reasonably necessary to:
• support the operation of the Strategy Navigator System;
• provide agreed services, support, and customer assistance;
• meet contractual, legal, accounting, regulatory, or operational obligations;
• resolve disputes, enforce agreements, or maintain appropriate business records.
Retention periods may vary depending on deployment model, customer configuration, service arrangements, legal requirements, and the nature of the information.
14. Access and Correction
Where PH Strategy and Leadership holds personal information about an individual, reasonable steps will be taken to provide access to that personal information or to correct it on request, subject to applicable legal and operational limitations.
